Who we are
Kohima Rentals is a broker-free rental marketplace operated by Kohima Business and Logistics Private Limited from Kohima STPI, Directorate of Information Technology & Communication, Thizama Road, Kohima, Nagaland - 797001, India. This policy explains what we collect when you use our website and Android/iOS apps, and how we use it. Kohima Business and Logistics Private Limited is the data controller.
Information we collect
Account details you give us (name, email, mobile number, profile photo, role as owner or tenant); for owners, identity-verification (KYC) documents — a selfie, a government photo ID (Aadhaar, PAN, Passport or Driving Licence) and an address proof; listing details and photos you upload; messages, inquiries, visit requests and bookings; payment records processed by Razorpay (we never store card or UPI credentials); device tokens for push notifications; and, with your permission, your approximate location to show nearby homes.
How we use it
To run the marketplace: show listings, connect tenants with owners, schedule visits, process online bookings and platform fees, send booking/visit/chat alerts (in-app, push and email), verify owner identity (KYC) and listings against broker activity, prevent fraud, and provide customer support.
Payments
Online payments are processed by Razorpay under their privacy policy. Booking amounts are non-refundable and non-cancellable as stated at checkout. We keep transaction references and receipts for accounting and dispute handling.
Sharing
Owner contact details are shared with tenants only after the tenant unlocks them or a booking is made. KYC documents are reviewed only by authorised admin staff and are never shown to other users. We share data with service providers strictly to operate the platform (Razorpay for payments, MSG91 for transactional email, Firebase for push notifications, and cloud storage for photos and documents). We do not sell personal data.
Location, camera & photos
Location is used only to suggest homes near you and can be denied — you can enter a location manually. Camera and photo access is used only when you choose to add listing or profile photos.
Your choices
You can edit your profile, change your verified email or mobile, remove photos, delete listings, and turn off push notifications in your device settings. You can delete your account and personal data yourself at any time from Profile → Delete account (in the app or on the website); listings go offline immediately and personal details are erased, while booking/payment records are kept anonymised as required by tax law. You may also email us and we will complete the request within 30 days.
Security & retention
Data is stored on encrypted cloud infrastructure with access limited to authorised staff; KYC documents are access-controlled and used only for identity verification. Session tokens expire automatically. We retain booking and payment records for 8 years as required by Indian accounting rules; other data, including KYC documents, is deleted when your account is deleted unless we are required to keep it for legal or tax records.
Children
Kohima Rentals is intended for users 18 years and older.
Changes
We may update this policy; the latest version is always at this page with the effective date below.
